Art Factory Studio Policies

Rev Feb 2026

By registering for any class, camp, workshop, or program at Art Factory Studios (“AFS”), the student, or the parent/legal guardian of a minor student, acknowledges and agrees to the following policies. For minor students, the parent/legal guardian gives permission for their child to participate in AFS programs under these terms.

  • Parents/guardians are responsible for timely drop-off and pick-up of minor students.

    • AFS is not staffed for childcare outside scheduled class times. A 5-minute grace period is provided for pick-up only. After this period, a late fee of $1 per minute will be charged.

  • Students are required to wear closed-toe shoes in the studio.

    • If a student arrives without closed-toed shoes, they may borrow a pair of studio clogs. These are a shared item sanitized after each use. A pair of new socks will be provided to the student to wear with the shoes. The family will be charged $5 for these socks, which they will keep.

  • Students are expected to wear clothing appropriate for a busy art studio. Aprons are provided, but occasional stains may occur.

  • All students, including minor students, must be fully restroom independent, including managing their own hygiene. Staff are not able to assist in the bathroom.

  • Students should not attend class if they are sick.

    • If a student arrives showing symptoms of illness, AFS may require the student to leave class. For minor students, the parent/guardian will be notified immediately.

  • Participation in art activities involves the risk of injury, including but not limited to minor cuts, stains, slips, or accidents. The student (or parent/guardian of a minor student) assumes all risks associated with participation in AFS programs and releases Art Factory Studios, its staff, and affiliates from liability for injuries except in cases of gross negligence.

  • In the event of a medical emergency, AFS will attempt to contact the parent/guardian of a minor student and/or the student’s emergency contact as soon as possible.

    • The student, or parent/guardian of a minor student, authorizes AFS staff to secure appropriate medical treatment and accepts responsibility for all related costs.

  • Students and families agree to comply with AFS health policies and safety protocols and will inform the studio if a student has been exposed to a contagious illness or has tested positive for COVID-19.

    • Mask-wearing is optional for staff and students.

  • Weekly class students are permitted to make up one missed class per month in an equivalent, age-appropriate class as space allows.

    • Ceramics students may make up in an equivalent ceramics class. Studio art students (drawing, painting, tiny art, etc...) may make up in an equivalent studio art class.

    • Make-up requests must be scheduled at least one week in advance.

    • To arrange a make-up class, please contact info@artfactorystudios.com or call 831-400-2744.

    • No refund or class credit is offered for missed days or cancellations.

  • Students attending summer and seasonal camps abide by the following cancellation policy:

    • A $50 refund fee will apply for cancellations made 30+ days prior to the camp’s start date.

    • A 50% refund fee will apply for cancellations made 14-29 days prior to the camp’s start date.

    • No refunds will be given within 2 weeks of the camp’s start date.

    • Camp enrollment may be transferred to a qualifying candidate, arranged via email: info@artfactorystudios.com

    • In the event of illness, a make-up drop-in to a weekly class may be offered, upon the discretion of AFS management.

  • In the event that a full refund is granted for any transaction, AFS reserves the right to deduct 4% from the refunded amount to recoup credit card processing fees.

  • The student (or parent/guardian of a minor student) grants AFS the irrevocable right to use photographs, video, audio recordings, and likeness for lawful promotional and educational purposes, without compensation.

    • I waive my right to inspect or approve the finished version(s).

    • If I do not want my or my child’s likeness to be used, it is my responsibility to contact info@artfactorystudios.com to make a written request.

  • 30+ days written notice is required if a student is withdrawing from an ongoing weekly class.

    • Monthly tuition that would regularly be billed during the 30-day period will continue to be charged.

    • Students may continue to attend class within any month for which tuition has been paid.

  • All weekly class payments are due the first day of each calendar month.

    • A $20 fee will be billed for late payments.

  • AFS is a community based on mutual respect and shared responsibility.

    • Students are treated with respect and kindness and they are expected to reciprocate this to other students and staff.

      • AFS works in partnership with students and families to support students’ studio experience.

      • AFS works to create a safe, respectful and inclusive environment for youth, staff, and parents.

      • AFS staff aim to demonstrate respectful and appropriate behavior in all communications with students and staff.

    • Parents are a crucial part of the studio community. AFS welcomes parent partnership, feedback, and involvement. As members of the community, parents are expected to conduct themselves with respect toward all other members of the community.

    • Parents and other visitors are expected to:

      • Respect AFS values.

      • Work together with staff in the best interests of all community members.

      • Treat all members of the AFS community with respect.

      • Seek a peaceful and reasonable solution to all issues.

    • Children and/or parents who are not following the agreements will be asked to leave the program. AFS reserves the right to refuse service. Refunds are not given upon dismissal of the program.

      • Behavior that will not be tolerated:

        • Expectations for staff to communicate outside of regular working hours

        • Disrupting, or threatening to disrupt, studio operations

        • Swearing, or using offensive language

        • Threatening a member of staff, visitor, parent, or student

        • Displaying a temper, or shouting at members of staff, students, or other parents

        • Damaging studio property

        • Abusive or threatening e-mails or text/voicemail/phone messages or other written communication

        • Posting defamatory, offensive, or derogatory comments about the studio, its staff, or any member of its community, on social media

        • Any aggressive behavior (including verbal or written) toward any member of the studio community

        • Disciplining another person’s child

      • Should any of the above behavior occur on studio premises, AFS may take any of the following actions:

        • Ending a meeting if this behavior is displayed

        • Declining to reply to communications that are offensive, abusive, or derogatory

        • Contact the appropriate authorities

        • Banning the adult from entering the studio

  • AFS reserves the right to cancel or reschedule classes due to circumstances beyond its control, including but not limited to weather, natural disasters, public health emergencies, or facility issues.

  • Registration for any AFS program serves as acknowledgment and agreement to all studio policies. Policies are subject to change with notice. This agreement shall be governed by the laws of the State of California. If any portion of this agreement is found to be unenforceable, the remaining provisions shall remain in full force and effect.

Addendum for Ocean Grove Students and Families:
  • Ocean Grove Home School funds may be applied to all classes.

  • I understand the following and I acknowledge that it is my obligation to provide my Education Specialist (ES) with this information:

    • Students must register for class before having a Purchase Order (PO) submitted.

      • A registration/materials fee is required for each semester-long class each semester and holds the student's seat until the end of the semester.

      • Monthly classes run through the duration of the semester. Art Factory Studios reserves this space for the registered student. The student’s seat in class will not be held until their registration is complete.

    • POs are to be written one per semester, per student.

      • POs are to be written for the full semester.

      • In the event that POs are written monthly rather than for the semester, a $25 service fee per month per PO will apply. This fee is to be added to the PO by the ES.

    • The family is responsible for awareness of available funds prior to sending their student to class.

      • If funds are low, the ES must communicate this with the student’s family to arrange private payment with the studio.

    • Art Factory Studios has a 30-day cancellation policy requiring written notice if a student is withdrawing from an ongoing weekly class before May 25, 2026.

      • Monthly tuition that would regularly be billed during the 30-day period will continue to be charged.

      • Students are welcome to continue attending classes within any month for which tuition has been paid.

      • The ES may cancel the PO for the remainder of the semester after 30 days have passed from the date written notice was delivered.

    • Drop-in classes must be written on separate POs and indicated as “Drop-in" + class day/time/class name.

    • All POs must be sent to jaquelyn@artfactorystudios.com

  • I understand that I must ensure that my student’s PO is sent and verified as correct by AFS Management before the student may attend their first class using Ocean Grove funds.

  • If a child attends class without a supporting PO, the family will be billed for that class and will be responsible for out of pocket payment.

Artwork Pick-up and Storage Policy:

AFS is pleased to provide students the opportunity to take home completed artwork created during classes, camps, and workshops. Due to limited studio space, AFS is unable to store student artwork indefinitely.

  • Kiln-fired ceramic pieces will be ready for pick-up approximately 2-4 weeks after completion.

  • AFS will notify students or the parent/guardian of minor students via email when artwork is ready for pick-up.

    • AFS may send courtesy reminders after initial notification but is not obligated to do so.

    • Artwork must be picked up within three (3) months of notification.

    • Artwork not claimed within three (3) months will be considered abandoned and may be discarded at AFS’s discretion.

  • Completed artwork will be stored in the designated pick-up area at the front of the studio.

  • Artwork that cannot be identified by staff will be placed in the designated pick-up area for student and family review. Families are encouraged to check the pick-up shelves when visiting the studio. Unidentified artwork may be periodically discarded at the beginning of each semester and at the start of summer sessions to allow space for new student work.

  • AFS is not responsible for loss or damage to artwork left beyond the designated pick-up period.
